How to Choose a Telegram CRM

Start with the account model and run one real customer conversation through the full workflow.

The best Telegram CRM is the one that matches the conversations your team already has and makes the next action obvious. A long list of integrations cannot compensate for the wrong account model or an inbox that nobody owns.

Use this checklist during demos and trials. Ask the vendor to show the real workflow, not a slide about it.

1. Confirm the Telegram account model

Ask one question first: does the product connect personal Telegram accounts, Telegram bots or both?

  • Choose personal-account support when customers already message real accounts and existing chats matter.
  • Choose a bot connection for structured intake, commands and self-service through a dedicated bot.
  • Choose a hybrid only when you can keep one customer record and a clear handoff between the two.

2. Test the shared inbox

A shared inbox should make team responsibility easier to see. During a trial, connect the minimum safe set of accounts and test:

  • unassigned queue and filters;
  • conversation assignment and reassignment;
  • private notes or internal comments;
  • account and folder visibility;
  • search across approved chats;
  • shift handover and escalation.

Check what happens when two teammates open the same chat. Look for a clear owner and current status rather than relying on presence indicators alone.

3. Check the CRM and support depth

For sales, verify custom fields, pipeline stages, reminders, deal values and closed reasons. For support, verify ticket status, priority, assignee, due time and a link to the source conversation.

The contact and chat should stay connected. If a rep must copy the username and message into another record, the product is an integration layer, not a Telegram-native workflow.

4. Review security and privacy

Request specific answers:

  • How are Telegram sessions or bot tokens stored?
  • Can members see only the accounts and chats needed for their role?
  • How is data encrypted in transit and at rest?
  • Which message content or CRM data is retained?
  • Are administrative actions logged?
  • How are exports, deletion and offboarding handled?
  • Can the vendor support your data-location or self-hosting requirements?

“We use encryption” is not a complete answer. Ask what is encrypted, where keys are held and which people or systems can access the data.

5. Evaluate analytics honestly

Look for response coverage, first-response time, volume by account, workload and SLA or overdue records. Confirm how each metric is calculated. A response-time average can hide a small group of conversations that waited far too long.

Sales teams also need pipeline conversion and overdue next actions. Support teams need ticket backlog and priority. Avoid buying a dashboard that measures only message activity.

6. Ask what API and MCP access can do

An API supports custom applications and deterministic automations. A Telegram MCP server gives compatible AI clients a standard tool interface. Ask for the current tool catalog and scopes.

  • Can it read only approved accounts?
  • Are read and write permissions separate?
  • Can it update structured CRM fields?
  • Can outbound sends require approval?
  • Are AI tool calls logged?
  • Can access be revoked without disconnecting Telegram?

7. Understand the full price

Normalize pricing across seats, Telegram accounts, messages, automation runs, API access, analytics and support. A low entry price can change when every account or required feature sits in an add-on.

Also count the cost of implementation. A slightly higher plan with the account model and workflow you need can be cheaper than maintaining a custom bot-to-CRM bridge.
